Photography Invoice and Deposit Calculator

How much deposit and balance should a photography invoice show?

Add your job lines, an optional discount and VAT, then set a deposit. The tool shows the total, the deposit and balance with due dates, and a plain text payment summary you can copy.

How the tool works

Enter each item as a description, a quantity and a price before VAT, or use a single line for a job total. A discount can be a percentage or a fixed amount. If you are VAT registered, switch VAT on and set the rate. Amounts are rounded to the nearest penny at each stage: discount, VAT, deposit and balance.

The deposit can be a percentage of the total or a fixed amount. It is due a set number of days after the invoice date. The balance is due a set number of days before or after the shoot date. The percentages and day counts are example figures, so set them to suit your own terms. Dates are counted as calendar days and do not allow for weekends or bank holidays.

This is a calculator, not tax or accounting advice. Check whether you need to be VAT registered, and what an invoice must show, with HMRC or an accountant. The late-payment note is your own wording, so agree it with your client in writing.

Questions

Do I have to charge VAT?

Only if you are VAT registered. Check the current registration rules with HMRC or an accountant. The tool leaves VAT off unless you switch it on.

How do I set the balance due date?

Choose a number of days and whether it falls before or after the shoot date. For example, 7 days before the shoot date.

Can I put a late-payment clause on the summary?

You can type your own note, and it is added to the summary as written. The tool does not check it, and it is not legal advice.
